Firstly, non-forum but in the Discord maybe it's time to start grouping the years of students under tags, so that @firstyears is possible. Good few announcements start with "Second years, [announcement]" and now with three years, there'll be even more.
Would be a bit tedious, not entirely sure of the benefits of tagging an entire section of the community would be (besides making them angry for being mass tagged) but if this is popular with the players this is something we can adjust for.

The homework system is great but the motivation to do it is lacking. Personally I only have the drive to do homework that gives good spells and a small chance if it has a good roleplay in it.
I think a system which utilizes this better is one that has ALL homework capable of getting spells. Which means homework translates to currency for buying spells (Wisdom currency). (There's already a stat currency after you win duels, etc. Maybe link it together for player ease?)
This also allows for more spells than possible to buy with E average, so players will get to choose spells that define their character more. Meanwhile O students will be rewarded much better with having a larger arsenal than others.
I've personally heard people also not really motivated with HoM or Flying or Transfiguration. I think there's definitely something that can be done to take advantage of the really unique site element. 
The concept of a shop-system was previously proposed a bit over a year ago for spells. However, I will forward the request to the team in case there are changed minds regarding this. In regards to making all classes provide spells, hopefully that is something that we will eventually see. Most of the Professors, in fact I think I am the last original staff person, have been replaced or that class has just started offering classes. Hopefully as the Professors settle into their role and develop their curriculum they will have more consistent offerings.
Also with homework, smaller but, maybe ask for feedback on the actual homework within the homework? Feedback is only ever beneficial, it should be asked as much as possible in my opinion.

Plot wise, I suggest running multiple plots for smaller groups, such as two houses from every year. I find large scale narratives just fall apart cause it's impossible to give everyone screen time on such a narrow story. One where everyone is doing small parts for the greater good.
I agree. It can be harrowing with Plot-centeric threads for that reason and also because players decide to drop the thread without warning leaving the moderator waiting for their post which ultimately destroys the flow of the thread. The difficulty with smaller threads is that everyone wants in and having limited entry leaves people feeling left out of attempting alternative means of getting into threads so that they can be a part of the action. Hopefully we can find ways of making it work better for players since most of my threads are more action/adventure oriented.
I think every thread with important information should be in the Encyclopedia. Or there should be tab at the bottom that is solely for information. At the moment having some stuff in a related section while other stuff is just put into the Encyclopedia and the relation doesn't matter, the unorganisation is frustrating at times.

For staff who work with it, it's easy cause you already remember where most of it is. But for new members who are uncertain whether they want to stay, it's stuff like spending 5-10 minutes searching for a thread that will make them give up.
Point out what threads you feel should be placed under a spotlight so I can see what I can do to facilitate that.

Unsure if it's done but the introduction letter given to students by Head of House should outline the exact steps students should be taking to get registered and all that. I find a little checklist of important links is the most useful thing when joining new RP sites.

Why is the Discord so tucked away? To someone who doesn't know what Discord is, (there's a surprising amount on HiO who made Discord just for HiO's server) how will they ever find it from just seeing a random "Discord Database"?
Maybe it's given in the HoH introduction letter though.

First, let me introduce myself: my name is Solomon Lear, Headmaster of Hogwarts School of Witchcraft and Wizardry. I am also the Head Administrator of this site but not the site owner, however I run this site in place of the site owner.

Before welcoming you to the greatest school of magic, I wish to give you some guidance and tell you a bit about our community. We are a Harry Potter site that works within the same universe as Harry Potter (so this is not an AU or "Alternate Universe" setting), Harry Potter did go to this school and he graduated in 1998. The present year is 2019, so Harry, Ron and Hermione have graduated many years ago. This site is looking for unique characters run by players as we make an original story years after the events in the Harry Potter series. Please do not try to make a character from another book series or from Rowling's work, we want to see something creative by you.

Some basic facts about Hogwarts.io

  1. Hogwarts.io is a roleplay website with a rating of 2-1-2 (via RPGrating).
    • Language (2): Swearing is generally permitted, with some limitations. We do not allow racial or ethnic slurs (except mudblood) and we do not allow players to swear out of character at each other.
    • Sex (1): Mild sexual innuendo and references permitted. We do not allow graphic content of a sexual nature in this community.
    • Violence (2): Explicit violence is permitted but we do not allow mentions of suicide attempts, self harm or severe mental illness in this community.
  2. Roleplay messages here are expected to be 200 words long as a minimum
  3. We are a brand new community, just over a year old and many of the cool things we hope to do are still under development. You are on the ground level of this site that we hope will last long term.
  4. We have recently released a Pet System, pets do cost galleons so you will not be able to start your time at Hogwarts with a pet however when you earn enough money consider purchasing one.
  5. We have recently released a Race System/Abilities System so that players can have access to some special races (such as half-Veela). You cannot apply for or mention special abilities or powers or races in character creation. You need to have an approved account because the systems involved in these abilities and special races requires a fully informed player. If you are planning on playing a special race (like Veela) or have a special ability like Parselmouth, don't discuss those special powers or traits in your application. You will be asked to edit that out.
  6. We are in a public beta of a Quidditch System, we will be doing some special work on brooms as well. Soon this will be open to everyone.
  7. We have a unique Spell System, meaning that you learn spells by taking classes and through experience with your peers. Players will not be able to metagame automatically knowing spells because their off-screen parent, friend or sibling taught them but they will be able to learn spells in class. So as a new student you will not be able to Avada Kedavra on your enemies when you first join the school nor will you have access to "An Idiots Guide to Dark Magic" or the schematics on how to make a Philosopher's Stone in your backpack but you will have many opportunities to learn some neat and amazing spells.
Creating a Character

Click on the frame, located at the top right of the page and click on "Profile". Write down a description of your character's pre-Hogwarts history with at least 220 words.

We are looking for the following:
  • What is their personality?
  • What do they look like?
  • Tell us a bit about their history, we will not be accepting obviously abusive backgrounds.
  • How or when did their magic first surface. You need to be magical to attend Hogwarts!
  • Please pay close attention to your spelling, a human reads this. 
Finally, add a picture of your character: do not forget that your character is only eleven-years old, they should look the part.
  • Please do not use selfies (this is for your personal safety).
  • Do not use images of your real-life (RL) friends or another player's RL picture.
  • Do not use a picture of a canon character from the Harry Potter series (such as Draco), we want unique characters in our setting.
  • Remember that your image must be a face claim and human.
WHAT’S NOT ACCEPTABLE

Having any connections to canon characters
Ex: “My Father is Draco Malfoy”
This rule is self explanatory, however, any sort of canon relation is not allowed. Even characters that aren’t  main, such as the Lovegoods, cannot be validated. However, having a similar last name is allowed, if the bio clearly states that they are not related.

Having a character that isn’t human and/or has  special abilities
Ex:  Being a werewolf or a seer
We have an Ability and Race Registry, please don't discuss special powers or races in your initial character creation post.

Having a character that is not 11 years of age
This does not need an example, and again, is a self explanatory rule. We all start at 11 years of age, when joining Hogwarts. No characters above this age will be accepted.

Having a selfie as a user avatar
Due to security, and wanting the best for our players, it is not allowed to have a selfie as a PFP. This is something that the Validation Team actively checks.

Having a picture that does not represent an 11 year old child
Naturally, the user avatar must be of an 11 year old human child, if it is not, then the account will not be validated.

Having explicit violence, self harm, or other triggering topics in the backstory section
Having a tragic backstory is a popular thing for most of our users, however, we have younger members on the site. To make sure that we do not expose our younger members to triggering content, this rule is in place. Remember that we do accept certain violent and traumatic upbringings, however, they must not be talked about in graphic detail. The validation team might ask you to alter your back ground or to omit certain references to keep us within the site rating.

Overly powerful characters
Ex:” At the age of 11 I am the next dark lord, ready to take over London for good. I can shoot fire from my hands and am super strong I can also read minds and control animals!”

Everyone starts at the same level, while learning one or two spells that are at a first year level may be okay for some of the pure or half bloods, having a character that knows spells far beyond their age and skill limit.
Once you are set, you will be able to purchase supplies on Diagon Alley, where all shops are located. You will have to buy all the items listed in the Supply List in order to get your account validated.

Besides Your Biography, What Else Do you Need to Do...

You need to go shopping!

Click on "Owls received" to find the Supply List. Then, click on the  Floo Network, at the bottom left of the page. Chose "Diagon Alley" and by hovering your mouse on the Diagon Alley panel on the left side of the page, click it, and choose the shops you would like to visit.
Are there any Additional Considerations?


Yes, of final note is the fact that we only allow one account per user. This means that we do not allow multi-accounts and obviously we do not allow banned users to return to our community unless their ban was temporary. We actively check new accounts for this and monitor existing accounts as well because having multiple accounts would grant a user a potentially unfair advantage over other players and it would be very difficult for the staff to manage players with multiple identities.

If you have a friend or a family member that is also a part of our community presently or in the past, please have them contact us so we can validate your account.

Before you finish shopping: Make sure you are happy with your overall character. We will not allow new accounts (a deactivation of your present account so that you can make a new one) until six months after your registration date. Six months is a long time to spend with someone. Make sure it is someone you like! 

Please also note that there are some things that are not within your character's control such as what house you are sorted into (which is a weighted tool that is based on the answers you give) or your wand which is truly a random event. We will not deactivate your account so you can "try again," because on the Pottermore site you got something else, or because you were "distracted" when you did your sorting, because this is your first RP opportunity where you deal with your in character elation or disappointment regarding your house or wand.

What Next


Now that your supplies have been bought, your biography has been completed and you have been approved to enter Hogwarts you will be allowed to enter the vicinity of Hogwarts and be part of the Sorting Ceremony where the Sorting Hat is expecting you. The House you will be sorted into will become your second home for the rest of your years at Hogwarts. And remember the sorting hat is never wrong... (So think carefully about your answers because your House cannot be changed.) 

Once you have been granted a House you can start roleplaying right away. We have an active Discord community that you are also free to join. You will get more information regarding our rules and how to get access to our discord once you are validated.

A common question many of us are asked is: when can I start to take classes. It will take you ten days of waiting from the time you are validated and twenty posts by your account for you to be able to access the homework system.

I'd really appreciate more class roleplays. Overall I'd rather professors had quicker homework to correct and more time to interact with students. Just my personal preference on roleplays I'd enjoy partaking.
I can mention this to the Professors.
Buying personality traits like fearless is a bit limiting on character personality. I think it's not something that should be mixed in a roleplay setting, it's more for a light character, high gameplay setting. As of now, even if Oliver finds vampire girls to be the cutest things ever and fantasises about them and stuff, they can still instill him with fear? Unless I pick fearless? Or Oliver is a mean 7th year bullying a third year Dhampir but my much superior and unafraid bully is actually afraid of a little kid who they'll easily knockout? Now my character is being bent cause the system says my character has to act a certain way. I think fear is slightly acceptable, it's a cool element for sure, but it begins to knock away at how much we can actually express our characters.
Traits such as fearless are present for statistical effect primarily. Dhamps for instance have an insidious aura that strikes a feeling of dis-ease into those around them that effects them statistically. Does that mean you have to run away in terror? No, not really. Does it mean that you would be too scared to hit someone because they unsettle you? No, you unsettle Erin very much and she very much still hits you. can you still be interested in and find a scary girl cute? Well, I guess I will find out if Parce dumps Erin and she gets a new victim/boyfriend. The effects are stricker in terms of moderation of course.
An incentive to write Solos and stories would be nice. Story of the month and story of the year, stuff like that. A lot on site write for fun already, I think it'd be good to give students an option and possible reward for writing. I personally want to write a detective wizard series, heh.
I can ask about this.
Finally, thanks for reading! I think overall feedback and even polls is what is most needed, cause the site is even losing its old veteran users.
Player losses are a bit more complicated than that in terms of community management. I cannot really get into all of that here but there is a bit more to the ingress and egress of old players than that for this community sadly. For that discussion you will have to go to my DM box.

Firstly, I thought that having a sort of 'godmother' system could be really nice. New students post a request to find one, and an older student answers to 'take them under their wing'. They'll help with figuring out the website, answering all their questions, explain the rules, just helping them in general.

Calendar
Secondly, could we have some sort of calendar for the IC birthdays? Maybe it could be up in the entrance hall so that the characters can throw birthday parties, send nice notes (IC), see who's sharing a birthday with you, etc. Everyone would sign up on the calendar to have their birthday show up.

Thats all, again, I'm not sure if any of those already exists?

In addition to what she said above, I was thinking about adding a calendar for OC and IC birthdays in the Leaky Cauldron. I am unaware, however, how it might correspond with what the staff think, so I will leave the idea here. I would only put the dates on the thread with consent, and anyone would be welcome to post wishing a player/character a happy birthday.

Since there are house quidditch teams for each house, why not have something like house dueling teams?

They could be smaller then quidditch teams- maybe even only 3 or 4 people each, and would participate in moderated battles that function with mostly the same system as normal duels. Though it technically wouldn't be a duel anymore since its more than 2 people per fight, I think that it would still be cool to make dueling something that can also be a house's pride. Of course, this wouldn't replace normal dueling- that would really suck, but instead would just be another form of it.

The only issue with OC information is that we have minors on this site and it is dangerous to share RL information or to have something that encourages people to share personal information.

We have tried a 'mentor' system in the past. It did not work out very well unfortunately because keeping an active staff for that proved to be arduous to achieve. That said it has been under discussion several times in the past, hopefully we will have a system implemented that can work long term. At this moment, players best resource is the Prefects because that is one of their IC responsibilities, to serve as a mentor and example to the other students. (Sorry Prefects, I have volunteered your services.)

I'll reply to my very appreciated sizable response when I can, but I have been RACKING my brain for the two points I left out literally since I posted my last reply. With great relief, I can finish what I had wanted to originally say.

1. I think Quidditch members should be limited to min. 3~ months on site, noticing some AFK players aren't even on the site long and representing their house. This one might be obvious(?), so apology if you already thought of this.

2. Players can make spells. Huge voting system and everyone picks the spell they want. Players DM their spells to staff and the staff do the first wave of choosing, then the players do a final vote on the chosen spells. Or some system like that so votes are less spread out.
I think a spell system would be extremely fun, especially its for events and stuff to create hype. There's a lot of spells in the universe but there's always room for spells like Bark Jinx or Peephole Charm, etc. I'd really love this site mechanic personally.

So since I have binding mark, this suggestion comes from self interest. Doesn't mean its a bad idea though-

So the binding mark has three parts:

1. The mark
2. Knowlage of where people are
3. Being able to communicate telepathically with people.

The last two, as we all know, function like this:

The brander knows where all of their branded are. They know where the brander is, but not where the other branders are.

The brander and branded can speak to each other telepathically. Anything said via this link is heard by everyone.

My issue is with that second part. I believe that what would make the most sense would be that The brander can speak telepathically to each of their branded, but the branded can only speak telepathically to the brander. Here are the reasons why:

Consistency: abilities like binding mark should remain consistent with their own features. If the knowlage of location works one way, the telepathically communication should work the same.

Individuality: The point of abilities is to give a user the chance to give their character a unique trait. If the telepathic communication (the part that's arguably the most important in binding mark) works the same wether you have the ability or were only branded by it then that feeling of the mark being a unique ability is diminished and a large portion of the point of it is gone.

Leadership: The binding mark ability gives off the impression (at least to me) that it was first created in the wizarding world for a leader to be able to check on and interact with their followers in in a convenient, private way. If the telepathic link functions like speaking in the same room as everyone else, the leader loses that advantage, and the followers lose out on that private bond that they have with the leader, which is the whole IC point of the ability (I think.) This is not to mean that a brander NEEDS to be a leader, but instead that the ability itself seems to have been created in universe with the idea of leadership in mind.

1 - When the Quidditch System is released there will be a means of rotating out users that fail to post in games because player activity is very difficult to get with larger groups. If some Houses lack users interested in a certain role that are several months in, new users may get certain roles because they are the ones that want it. The present plan is not set in stone but the plan is basically a second string that replaces players after they miss 2 rounds in a row. The second string becomes first string until they fail to post twice in a row also. The former (inactive) first string can reapply for the role but they would end up being second, third, fourth, etc string upon their return and have to wait their turn. This may not be the system as it is still under discussion but the most likely result.
2 - Making new spells, if that becomes a thing, would not be for a long time since our base spells need to be written out and up. And then a system (like limitations and guidelines) would need to be developed and the new spell would need to be tracked and documented in some way (creating challenges for the staff). Not saying that it won't happen or it will happen, just listing the barriers that there will be in the course of development.
3 - Fixed the Trophy Room Post.
4 - Individualizing the communication to each individual person via the link would increase the power of the mark greatly. Could it be modified to do that? Conceivably but how it would work among other limitations would need to be listed on the update. Will have to address this want when the first patch comes out.

I was wondering if it would be possible for students to be able to unlock certain spells by purchasing books. Or perhaps purchasing a book, and having to write an RP or what not. Heck, I'd be willing to help write a few pages from said books and find spells that can be added to student registries. Of course I understand if some of these would be by year, or perhaps each book could have an extra spell per year. Just a few ideas thrown out there.
